Prospecting

Every contact, with its full history.

Each record keeps the stage, source, notes and every call, email and task your team has logged. Smart lists group the people you should reach this week, and update themselves as people move through your stages.

The People screen: smart lists on the left with live counts, and a table of contacts with phone, address, email, price and last activity.

One record

The whole story on one timeline.

Open a person and see their stage, source, assignment, contact details and every touch in order: calls with notes and duration, emails, property views, appointments, completed tasks and signed documents.

  • Tabs for calls, emails, notes, property views, files and signatures
  • Attempts counted automatically from outbound touches
  • Tasks, appointments, deals and action plans in the side rail
  • Files and signature requests attached to the person

Smart lists

Lists that fill themselves.

Smart lists are saved filters evaluated on the server. People appear in a list while they match its rules, such as stage, tag, source or inactivity, and drop out when they no longer do. Build your own with a name and an emoji.

  • Built-in collections for new, hot, nurture, clients and stale leads
  • Custom lists by stage, source and tag
  • Counts next to every list, always current
  • Open a list in the Call Center and start dialing

Work in bulk

Filter, select, act.

Search by name, email, phone, address or tag, narrow by stage and source, then act on the selection: email the group, tag them, reassign them, add them to an action plan or export a CSV.

  • Has phone and has email filters for calling and email days
  • Assign or reassign to a teammate in one step
  • Export up to 5,000 rows with stage, source, tags and last activity
  • Owners and admins decide who can delete or reassign
The People table with the filter bar open and two contacts selected, bulk action icons enabled above the table.

How it works

Contacts & Smart Lists, step by step.

  1. A lead arrives

From a web form, a portal, an import or by hand. It gets a stage, a source and an owner.

  2. It lands in the right list

New leads show up in New - Needs Contact; hot prospects move to their own list as the stage changes.

  3. Every touch is logged

Calls, emails, notes and tasks attach to the record, whoever on the team made them.

  4. Reassign without losing anything

Move a contact to another agent and the whole history goes with it.

Questions

Good to know.

Can I import my existing contacts?

Yes. Import a CSV of up to 1,000 contacts at a time from the Call Center. Columns are matched automatically, duplicates by phone or email are skipped and existing contacts are never overwritten. Every import also creates a calling list.

Who can see which contacts?

Owners and admins see the whole agency. Agents and assistants see the contacts assigned to them. Unassigned leads stay visible to owners and admins until someone assigns them.

Can I export my data?

People has a CSV export, and Admin → Data downloads the whole workspace as JSON whenever you want it.
