Set up your agency, step by step.

Everything below describes the real screens in RLTR. Where a capability needs setup first, or isn’t available yet, we say so.

Getting started

From a blank account to a working agency in an afternoon.

How do I create my agency?
  1. Open the app and choose Create an account. Enter your Agency name, Your name and Work email, then click Send verification email.
  2. Open the email from rltr titled “Verify your email for rltr”. The link works for 60 minutes. You can request another after one minute.
  3. On Activate your agency, choose a password of at least 12 characters and confirm it. You are signed in straight away.

New agencies start empty: no sample records, no default accounts. Nothing is created until you open the verification link and choose a password, so a scanner opening the link cannot activate the account.

What should I set up first?

Open Admin in the sidebar and work down the list:

  • Company: company name, the Reporting time zone (it defines “today” for Call Center statistics) and Lead routing for new web leads: round robin, await owner/admin assignment, or always to the owner.
  • Stages and Lead Sources: built-in stages show how many people are in each; add your own for portals, campaigns or partners.
  • Team & Roles: invite your agents and admins (see below).
  • Email: each member connects their own mailbox.
  • Texting & Calling: enable rltr calling and verify caller IDs.
Which Admin sections can every member open?

My Profile, Email, Templates, Calendar Sync, Notifications and Data are open to everyone. Company, Team & Roles, Texting & Calling, Call Flow, Action Plans, Lead Ingestion, Web Forms, Files & Storage, eSign Documents, Stages, Lead Sources, Deal Pipelines and Automation & AI are managed by owners and admins.

How do I find things quickly?

Press Ctrl K (or Cmd K) anywhere in the app to open the command palette and jump to a contact, deal or page after typing two letters. The search box in the top bar finds people and deals.

Team & roles

Owners and admins see the whole agency. Agents and assistants see the records assigned to them.

How do I invite someone?

In Admin → Team & Roles, click Invite member, enter their email and choose Agent or Admin, then Create invitation. An invitation email is sent and a private link is shown that you can also share yourself. Invitations work once and expire after seven days. Reissuing an invitation invalidates the earlier link.

The invitee sees Join your agency, enters their name and a password, and is signed in.

What can each role do?

Roles are Owner, Admin, Agent, Assistant, Transaction Coordinator, Lender and Marketing. They map to three access levels:

  • Full access (Owner, Admin): everything, including assigning unclaimed leads, reassigning contacts, deleting people and deals, team-wide reports, action plans, integrations, team, company settings, stages and pipelines.
  • Agent: their assigned people, inbox, tasks, calendar and deals; add and edit people; log calls, emails and notes; create tasks, appointments and deals; reports and goals for their own records.
  • Assistant (Assistant, Transaction Coordinator, Lender, Marketing): the same as an agent for assigned records, without setting goals.

What happens when someone leaves?

Remove on the Team page ends their access immediately and disconnects their stored mailbox and calendar credentials. Their assigned people stay with the agency and can be reassigned by an owner or admin, with the full history. The last active owner cannot be removed or demoted.

Contacts & lists

One record per person, with every call, note, email and task on the same timeline.

How do I import a list of contacts?

Open Call Center and choose Import CSV. Upload a CSV of up to 2 MB and 1,000 contacts with a header row, name the calling list, set the Lead source and match the columns (a primary phone is the only required mapping; name, additional phone, email and address are optional). Pick the recipients’ time zone, confirm your agency has reviewed the list’s calling eligibility, then Preview import.

The preview reports how many rows are ready, duplicates skipped and invalid rows skipped. Duplicate phone numbers or emails are skipped and existing contacts are never overwritten. Imported contacts appear in People and in a new list for the Call Center.

What is a smart list?

A saved view of People filtered by stage, tag or source. Built-in lists cover new, hot and nurture leads; you can add your own with a name and emoji. The count next to each list updates as people move through your stages.

Can I export my data?

Yes. People has a CSV export, and Admin → Data downloads your whole workspace (people, conversations, tasks, appointments, deals) as JSON at any time.

Calling

Call through your computer headset from your verified business number. No Twilio account needed.

How do I enable calling for my agency?
  1. An owner or admin opens Admin → Texting & Calling (or Calling settings in the Call Center) and clicks Enable rltr calling. If your agency has not been approved yet, the panel says to contact rltr support. Use the contact page and we will enable it.
  2. Each agent adds a caller ID under Add your caller ID: enter your business phone number and click Call me to verify. Answer the call, enter the code shown on screen, then click I entered the code — check verification.
  3. An admin can reassign verified numbers to members under Verified caller IDs.

Verification keeps your existing phone service. Callbacks to your number ring your existing phone and are logged in RLTR manually. Agencies that prefer to pay Twilio directly can connect their own account under Advanced.

What do I need on my computer?

A current browser with a headset or microphone. The Call Wizard includes a headset check. Calls keep running while you move around the CRM; if you refresh the page, the session is recovered from the server and the headset reconnects. Leaving the headset pauses the session and Rejoin resumes it.

How does the power dialer work?

From a calling list, click Start calling. The Call Wizard lets you choose the audience, the caller ID, one to three lines, the ring time, a script and the voicemail and busy recordings. Running more than one line requires an uploaded busy recording. While the session runs you see who is ringing, who is connected and who is next; after each call you save the outcome and business result, and callback or appointment results create a follow-up task.

What rules does RLTR enforce?
  • Calls are only placed between 8 am and 9 pm in the recipient’s time zone, checked before every number.
  • A do-not-call result suppresses that number for the whole agency, and invalid numbers are suppressed too.
  • Each agency has a daily allowance of outgoing attempts, shown in Calling settings, that resets at midnight UTC.
  • Outbound calls are not recorded.

Eligibility review is your agency’s attestation. RLTR does not check the National Do Not Call Registry, and importing a purchased list does not establish permission to call it.

How are incoming calls answered?

Owners and admins set this in Admin → Call Flow for the agency’s own numbers: separate Business hours and Non-business hours branches, each with a single forward, simultaneous or sequential ring, voicemail or an IVR menu. Lines can forward to a phone number or ring in the app. Verified personal caller IDs keep their own phone service and cannot answer a call flow.

Email

Your email inside RLTR. Only conversations you choose to link are shared with your team.

How do I connect my mailbox?

Open Admin → Email and click Add mailbox. Enter your name and email address and click Find settings; RLTR looks up the server settings from your email domain (only the domain is sent, never your address or password). Review the incoming and outgoing servers, enter your mailbox password or app password, click Test connection, then Connect mailbox. Both servers are checked before anything is saved.

Any IMAP and SMTP mailbox works, including cPanel hosting. Gmail and Microsoft sign-in buttons appear once those integrations are configured for your RLTR deployment; until then, use an app password with manual settings if your provider allows it. POP mailboxes are not supported.

What syncs, and how fast?

Inbox, Sent, Drafts and Trash. The first sync starts within seconds and older history is backfilled over later runs. New mail is picked up as it arrives and every mailbox also gets a catch-up check about once a minute. You can read, reply from the account that received the message, compose with a chosen sender, autosave drafts, attach files (up to 10 files, 5 MiB each, 20 MiB combined), mark read or unread, and move to Trash or restore.

Who can see my email?

Only you, including against agency administrators. When you link a conversation to a contact, the messages and attachments in that thread, plus future replies, become visible to teammates who can access that contact. Sharing grants reading, never use of your sending credentials. Disconnecting removes only RLTR’s copy and credentials; your provider mailbox is never deleted or altered.

Why did a send show as unconfirmed?

If the mail server does not confirm delivery, RLTR reports the send as delivery unconfirmed or sent, copy pending rather than guessing, and never resends automatically. Check your Sent folder before sending again.

Calendar

Two-way sync through calendar feeds. No app registration needed.

How do I see my RLTR appointments in Google Calendar or Outlook?

In Admin → Calendar Sync, copy your Private feed URL. In Google Calendar choose Other calendars → + → From URL; in Outlook choose Add calendar → Subscribe from web. Anyone with the link can read your appointments, so keep it private. Google refreshes subscribed feeds every few hours, Outlook roughly every three.

How do I bring my Google or Outlook calendar into RLTR?

In the second card, choose your provider and paste the secret ICS address (Google: Settings → your calendar → Integrate calendar → Secret address in iCal format; Outlook: Settings → Calendar → Shared calendars → Publish a calendar → ICS). Imported events show in gray, are read-only in RLTR and refresh every 15 minutes. Only HTTPS feeds from Google and Outlook hosts are accepted.

If you connected a Google or Microsoft mailbox with calendar access, appointments you create in RLTR are pushed to that calendar and its events appear in RLTR within 15 minutes.

Capturing leads

Web forms you can share, and endpoints for your website and portals.

How do I create a web form?

In Admin → Web Forms click New web form. Choose the form type (Lead, Buyer, Seller, Agent, Vendor or Website), the lead source, starting stage, assignment and tags. Toggle the visible fields (first name, last name, email, phone, address, budget, timeframe, message) and add custom questions: short answer, multiple choice or yes/no. Edit the headline, intro and thank-you text. Each form gets a private link and an embed snippet; you can close a form or issue a new link at any time.

Every submission becomes a lead: de-duplicated by email or phone, routed by your rule, recorded as an inquiry on the timeline, and the assignee is notified.

How do I connect my website or a portal?

Admin → Lead Ingestion shows your API key and three endpoints: Website form (any JSON with name, email, phone and message fields), Zillow and Realtor.com. Paste the portal endpoints into the portal’s lead-forwarding setting and send the key as an X-Api-Key header, a ?key= parameter or an apiKey field. Use Send test lead to check the whole path. Regenerating the key stops the old one working immediately.

How are new leads assigned?

By the routing rule in Admin → Company: round robin between agents, wait for an owner or admin to assign, or always to the owner. If a portal names an agent of record, that agent wins. Unassigned leads are visible only to owners and admins until assigned, and an action plan can start automatically.

Account & security

Signing in, resetting passwords and how your data is kept.

I forgot my password.

Click Forgot password? on the sign-in screen and enter your email. If an account exists, a reset link arrives from rltr and works once, for 60 minutes. Choose a new password and you are signed in immediately; all earlier sessions are signed out. Admins can also set a member’s password from Team & Roles → Edit.

Why was I locked out?

Five failed sign-ins lock an account for 15 minutes. Wait, then try again or reset your password.

How is my agency’s data separated and protected?
  • Each agency works in its own isolated database schema, selected from your sign-in token on every request. A URL or header cannot switch agencies.
  • Mailbox, calling and integration credentials are encrypted at rest and never returned to the browser.
  • Everything is served over HTTPS. The marketing site never loads the app or its API.
  • Files are never public: every download goes through a permission check.
  • Signing out revokes that session; changing or resetting a password signs out all others.

Not available yet

So you can plan around it.

Texting

Agency texting is not available yet. Text templates and text steps in action plans are ready for when it is, and the app says so wherever a text would be sent.

Call recording and number porting

Outbound calls are not recorded, and RLTR does not port numbers. Your verified business number keeps its existing phone service.

Mobile push notifications

In-app alerts appear in the bell menu and browser notifications can be enabled from Admin → Notifications. Mobile push is not available yet.
